Frequently Asked Questions

Q. How do I know if a hotel is still available?

A. Once a hotel is filled we will note it in the selection box on the hotel reservation form. (The hotel will still be listed on the Hotel List, but it will reflect sold out on the reservation form.) We are constantly adding hotels to the list so check back frequently or call our office if you have a specific request.

Q. How far from the playing facilities is the hotel?
A. The approximate distance from the hotel to the playing facilities is shown for each hotel on the Hotel List.

Q. Will you split my teams split between two hotels?
A. We do not split teams between two hotels without your permission. If your first choice hotel does not have enough rooms for your teams, we will use your second or third choice. If none of your selections have enough rooms for your teams, we will call you and discuss the options.

Q. Smoking vs. non smoking rooms.
A. We have requested that the hotels in the block attempt to honor the requests for smoking/non-smoking rooms. However due to the large number of rooms being used in each hotel it may not be possible for all requests to be filled. There is no guarantee that all of your rooms will be non-smoking, and we are not able to control that.

Q. Will my credit card be charged right away?
A. All reservations and credit card information is submitted to the appropriate hotel at the time the reservation is confirmed. At that time each hotel's individual reservation & payment policies will apply. Even though most of the hotels will not be charging anything to card immediately, you should be prepared to have the equivalent of the first nights stay charged on your card.

Q. Can we check-out early?
A. Early departure policies vary by hotel and some may have an early departure penalty. Concorde Travel understands the nature of the tournaments and events and we do our best to negotiate the most flexible, convenient policies possible with the hotel.

Q. What if I need to cancel my hotel reservation?
A. Complete cancellations can be made without penalty 45 days prior to your tournaments start date. For team blocks, should you cancel on or after this date, cancellations that exceed 10%, or more than 4 rooms, of your room block could result in a charge to your credit card equal to one night's stay for each cancelled room. Each hotel has their own cancellation policy so please refer to the hotel confirmation for the last day to cancel without penalty. All requests for cancellations must be submitted in writing either by email to cstein@concordetm.com  or via fax at (602) 391-2345.

Q. What if my team is not accepted into the tournament?
A. If your team is not accepted into the tournament due to capacity problems, your hotel reservation will be cancelled with no financial penalty.
